Managing Inventory

Every business manages inventory differently - there is no single “right” way to do it in Winehub or Shopify. The best approach depends on your business needs and processes. However, Winehub provides seamless tools that integrate with Shopify’s inventory management system, helping you track and manage stock efficiently.

Tracking Stock

In both Winehub and Shopify, you have the option to enable ‘Track Quantity’ for each product. If you use an external inventory management system (outside of Shopify), you may choose not to track quantity in Shopify or Winehub.


Understanding Stock Levels

  1. On Hand → The total inventory physically in stock.
  2. Available → The inventory that is not yet allocated to orders and is ready for sale.
  3. Committed → The inventory that has been allocated to existing orders but not yet fulfilled.
  4. Reserved → The inventory that is reserved by Winehub for future club orders (dependent on your settings)

Reviewing Stock for Club Runs

You can review required stock for a specific club run or across all club runs.
  1. Individual Club Run 
    Search for the club run in the Club Run section of Winehub and view the record to see a full packing list, including low stock warnings.

  1. All Club Runs → Open the Low Stock Club Products accordion in the Administration section of Winehub to view stock levels across all club runs.


Reserving Stock for Club Runs

Reserving stock for club runs is optional and only applies if you are tracking quantity for your products. Reserved stock is set aside for club orders to prevent stock shortages when processing orders.

Manual Stock Reservation
  1. When reviewing a future club run in Winehub, you can choose to reserve stock in advance for that specific run.
  2. To do this, search for the club run in the Club Run section of Winehub.
  3. In the Individual Customer Orders section, click Reserve Stock for Orders (top right).


Automatic Stock Reservation
  1. This optional feature can be enabled in Winehub General Settings to automatically reserve stock for all club runs in advance.
  2. You can specify how many days before a club run stock should be reserved and what location it is reserved from.

When stock is reserved in Winehub, it will appear as ‘Unavailable’ in Shopify inventory.


Customising Low Stock Warnings

If you are tracking stock quantities, you can customise low stock warning thresholds in Winehub General Settings. This ensures you receive alerts when stock levels drop below a specified threshold. Additionally, you can choose which location stock should be reserved from.

The Global stock level is for ALL stock locations (ie. not just the Primary stock location)


Adding Inventory to Mixed Packs

If Track Quantity is enabled for a mixed case in your club, you must 'pack' these cases to add inventory. 'Packing' happens on the mixed pack product page, reducing individual bottle stock and creating a mixed case product with its own SKU and inventory. If needed, you can unpack cases to return stock to individual bottles.

You may choose to not to track mixed pack quantities. In this case, each individual product in the pack will be decremented at the time of sale and the pack will be deemed to have no stock if one of the products has zero stock.
