Winehub seamlessly integrates with Shopify, syncing product databases across both platforms. While you can create or edit products in either Winehub or Shopify, we strongly recommend using Winehub for all alcohol-related products. This is so that any product price changes are correctly reflected in wine club subscriptions and because Winehub's enriched metafields (eg. Varietal, Vintage, Alcohol % etc) provide detailed customisation and reporting capabilities tailored specifically for alcohol sales, giving you a competitive edge in marketing, analytics, and customer engagement.
Note: Metafields sync only from Winehub to Shopify, not the other way around, which is why Winehub should be your primary product creation tool .Loading Individual Bottles or Cases (Wine, Spirits & Beer)
- Winehub Type: Select the correct product type. This field is important as it determines reporting, discounts, and loyalty application.
- General – Tasting fees, merchandise, etc.
- Wine – Individual bottles or cases of wine.
- Spirit – Individual bottles or cases of spirits.
- Beer – Individual bottles or cases of beer.
- Mixed Case – Bundles of individual products.
- Product Title: Enter the name as it should appear in the Shopify cart. For wines, include vintage and name.
- Description: The main description displayed on your website product page.
- Active: Mirrors Shopify’s active/inactive setting.
- Subscription Only: Restricts product to subscriptions (e.g., wine clubs).
- Exclude from Automatic Discounts: Prevents perk discounts from applying.
Variants and Attributes
- Variant Image: Load a variant image only if you are loading more than one variant
- Variant Type: Choose between bottle or case, specifying case size when applicable.
- Bottle Size: Predefined sizes are available (e.g., Standard 750ml, Magnum 1500ml).
- SKU: Mandatory field for tracking inventory. Winehub can auto-generate this.
- Pricing Options: Includes Retail Price, Cost Price (optional), and Compare Price (for discounts).
- Dimensions: Define weight, width, height, and depth for shipping rate calculations.
Inventory Management
Variant Flags:
- Taxable: Mirrors Shopify tax settings.
- Track Quantity: Enables Shopify's inventory tracking.
- Continue Selling When Out of Stock: Only available if "Track Quantity" is enabled.
Stock Metrics:
- Reserved: Allocated for pending orders.
- Available: Unallocated stock ready for sale.
- On Hand: Total physical stock at the location.
Metafields
Product Awards and Reviews
- Awards: Load product awards to highlight accolades (e.g., Gold Medal, 95 Points). These require custom embedding in your Shopify theme to appear on product pages.
- Reviews: Add customer reviews for your products. Like awards, these can be displayed with minor Shopify theme customisations.
Loading General Products
General products refer to non-alcohol items, such as tasting fees, event tickets, or merchandise. While their fields mirror those of alcohol products, they exclude Winehub-specific metafields like varietal, vintage, or alcohol content.
- Set the product type to General.
- Use standard fields like SKU, Retail Price, Description, and Product Flags.
- Customisations like awards and reviews can still be added, but alcohol-specific options like case size or mixed case functionality are unnecessary.
Loading Mixed Cases ( #packedcases )
Mixed cases are unique bundles comprising several individual products. Managing these differs from standard product management in two key ways:
- Case Size: You must specify the case size (e.g., 6-pack, 12-pack).
- Product Selection: After selecting the case size, a gold Add Product button appears. Use this to add existing products to the case.
IMPORTANT: If “Track Quantity” is enabled for a mixed case, you must “pack” cases to add inventory to the product. Packing reduces the stock of individual bottles immediately and creates a new product (the mixed case) with its own SKU and inventory. If needed, you can “unpack” cases to return stock to individual bottles.
Ensure your inventory adjustments made in third-party systems (e.g., Cin7) align with Winehub to avoid unintended stock changes between systems.
Bulk Uploading Products
Bulk uploading saves time when managing large product ranges. You can upload new products or update existing products with ease.
New Products:
- Navigate to Settings > Product Data Upload in Winehub.
- Download the provided CSV template.
- Fill in the required fields and upload the file.
Existing Products:
- Export your current product list from Winehub by selecting Product > Export All > CSV Format: Import/Export.
- Make updates in the exported file, such as price changes or metafield adjustments.
- Upload the modified file back to Winehub (Settings > Product Data Upload), ensuring you check the box confirming this is an update of existing data.
Important Product Management Considerations
- Price Changes
Always update prices in Winehub to reflect changes in linked wine club subscriptions; Shopify price edits do not sync back to Winehub for contracts.
- Product Tags
Automated tags in Winehub improve searchability, analytics, and feature activation. Examples include:
winehub-managed-product: Appears when a product has been created or edited with the Winehub product editor.
default-checkout: Appears when the product can be purchased via the online store after creating or editing with the Winehub product editor.
subscription-only: Symbolises the product can only be purchased via a club sign up or general subscription.
exclude-from-all-discounts: Symbolises the automatic perk discounts from clubs and tiers will not apply to this product.
case: Appears on multi bottle variants or mixed case products created/edited via the Winehub product editor.
mixed-packs: Appears on mixed case products created/edited via the Winehub product editor.
wine: Appears on products that have a winehub type of Wine or Mixed Case
- Product Categorisation
We strongly suggest that you correctly categorise all products in Winehub. This ensures that discounts and perks are calculated correctly that you can create detailed customer segments based on preference, and that your reports and dashboards are accurate. There is a button at the top of the Product module in Winehub that allows you to bulk edit the 'Winehub Type' according to your categorisation in Shopify. You can use the Bulk Product Upload feature (details above) to update all other fields in bulk. The most important fields for categorisations are; - Winehub Type (eg. General, Wine, Mixed Case etc)
- Product Type (eg. Red, White, Sparkling etc)
- Varietal (eg. Shiraz, Riesling etc)
- Draft and Archived Products
Before drafting or archiving products:
- Verify the product is not linked to any subscriptions or wine clubs.
- Use the bulk product swap tool or manually replace the product in clubs.
- Avoid deleting products without replacements to maintain healthy subscription operations
Products managed by Winehub are not compatible with Shopify Combined Listings.
Bundled products created with third party bundler apps are not compatible with the subscription only option, known as ‘requires selling plan’ or ‘only show this product with these purchase options’ in Shopify. To bundle a product for use with wine clubs use the Winehub mixed pack feature (mixed case Winehub type in the product editor).
Third party inventory systems such as Cin7 can make adjustments outside of Winehub to inventory that is not known to the packing feature which can have unintended side effects. Test your integration before using it live.
