Bulk Shipment Swap

The Bulk Shipment Swap tool you to reset all customer selections in a variable club to a selection that is defined by you. This is useful for:
  1. Updating customer shipments to a new default selection
  2. Introducing a new standard offering
  3. Forced shipment inclusion of new product
Info
It may take some time for all contracts to be updated with the new product(s). You can continue using the system as usual while this swap is in progress.

Accessing the Tool

  1. Go to the Wine Clubs > Bulk Actions
  2. Select Bulk Shipment Swap then select the club you want to update


Configuration Steps

  1. Click Shipment Templates to proceed

  2. Select the products you would like to move all club members to.


  3. Configure the default shipment for each club and case size (Products will only be added if they are assigned a quantity in the club’s default selection)



Default Selection Rules:

  • Quantities must match the case size (e.g. 6-bottle club must have 6 total bottles).

  • Selling plans must meet the minimum order value set for the club (if relevant).

  • Clubs with minimum quantity rules must have at least one overflow variant to fill additional quantities above the minimum.

  • Clubs with custom pricing must include valid prices for all products with quantity above zero (cannot exceed retail or be less than zero).

If any requirements are not met, a red warning will appear with instructions.

Important Notes:

  • Exclude Customers: Use the “Exclude Customers” option to leave specific members’ shipments unchanged. You can also exclude customers that have updated their club selections after a certain date.

  • Customer Notifications: Optional email alerts can be configured and sent to affected customers. This template is specific to the current swap and must be reconfigured for each new use.

  • Review & Submit: The Review section will flag any invalid configurations. You can:

    • Set a future effective date for the update, or

    • Use the Update All Shipments toggle to apply changes to all upcoming shipments.

      Once complete, click Submit to finalise the shipment swap.

Retired Products

Products that no longer have active subscribers can be marked as Retired. They will:

  • Remain in the wine club but

  • Will not be selectable in new sign-ups or contract edits.

To restore a retired product:

  • Go to the club’s edit page.

  • Open the Retired Products tab under Select Wine Club Products.
