Club Types

Winehub offers flexible club subscription options tailored to customer preferences and business needs. Each club can be configured using one of four club types and can operate on either a fixed-date or anniversary-date shipment schedule.

  1. Fixed Case - Admin-curated cases with fixed content and fixed prices.
  2. Variable Case - Customers choose their wine from an approved list with variable pricing.
  3. Playlist Club - Shipments are individually customised by the admin and/or the customer; only supports anniversary-date schedules.
  4. Seasonal Club - Admin or customer curated selections that change with the seasons; operates on a fixed-date schedule.

Fixed Case Clubs

Fixed Case Clubs offer one or more preselected cases with a fixed price. The wines in a Fixed Case club are always chosen by the winery and there is no ability for changes to individual customer orders. Admins create cases as distinct SKUs (e.g. "The Winemaker’s Selection") with size variants such as 6 or 12 bottles.

Features:

  1. Can include multiple case options within the same club (eg. whites, reds, and mixed wines).
  2. Mixed cases decrement stock at the bottle level; standard cases track stock at the case level.
  3. Admins can manually update case contents or prices when necessary.
  4. Offer an optional Welcome Pack or Signup Product

Customisation Options:

  1. Add discounts tailored to specific delivery frequencies.
  2. Allow customers to choose between multiple preconfigured case options (e.g., reds, whites, mixed).

Examples:

  1. Mixed Case Whites (6 or 12 bottles)
  2. Mixed Case Reds (6 or 12 bottles)
  3. Mixed Combination Case (6 or 12 bottles)


Variable Case Clubs

Variable Case Clubs give customers the freedom to personalise their wine selections from an admin-defined list. Pricing varies based on the bottles selected, minus any applied discounts. The customer's wine selection becomes their recurring order unless updated. 

Features:

  1. Customers select their wine choices, case size, and delivery frequency during signup.
  2. Choose from case size, minimum order value or minimum order quantity options.
  3. Flexible case sizes can be offered (e.g. 3, 6, or 12 bottles).
  4. Admins can override all customer club selections (eg. for a quarterly release that allows customisation)
  5. Club-specific discounts can be applied based on the chosen frequency or case size.

Customisation Options:

  • Customers or admins have full control to customise all club shipments individually.
  • Admins define the list of available wines for selection along with deliver frequencies & case sizes.

Examples:

  • Create-your-own case (choose 3, 6, or 12 bottles).
  • Build-a-case from premium wine selections.

Playlist Clubs

Playlist Clubs provide a highly customisable subscription option where each shipment is curated, either by the admin or the customer.

Features:

  • Shipment contents are determined by the admin or the customer on a per-shipment basis.
  • Each shipment can be configured as either a fixed case (curated by the admin with a set price) or a variable case (allowing customer selection from an approved list).
  • Supports flexible delivery frequencies (e.g., monthly, quarterly, semi-annually).
  • Operates exclusively on anniversary-date schedules, based on the customer's signup date.

Customisation Options:

  • Create unique, themed shipments such as "Regional Spotlight" or "Collector's Edition."
  • Provide flexibility to customers by mixing fixed and variable shipments across the subscription.

Examples:

  • Shipment 1: Admin-selected premium whites (fixed case).
  • Shipment 2: Customer selects from a curated list of sparkling wines (variable case).
  • Flexible frequencies such as bi-monthly or quarterly shipments personalised for each customer.

Seasonal Clubs

Seasonal Clubs provide curated wine selections that are tied to specific seasons, with preconfigured or customised season schedules.

Features:
  • Admins control the number of seasons and their respective dates.
  • Shipments occur on fixed rebilling dates set for each season (e.g., Spring, Summer, Autumn, Winter).
  • Each seasonal shipment can be configured as either a fixed case (curated by the admin with a set price) or a variable case (allowing customer selection from an approved list).

Customisation Options:

  • Configure seasons with default Northern or Southern Hemisphere dates, or create custom schedules.
  • Tailor shipments to seasonal themes (e.g., summer whites or winter reds).
  • Offer an optional Welcome Pack or Signup Product

Examples:

  • Quarterly shipments for Spring, Summer, Autumn, and Winter.
  • Seasonal highlights with rotating wine selections curated by the admin.
Info
To apply your specified number of seasons, enter the number and click “Update Seasons”, to clear current seasons, click “Reset Seasons”. Seasons need a name, start date, end date and rebilling date. Season dates cannot overlap, and every day of the year must fall within a season. The season rebilling date will specify the date of the club run for that season’s shipments and must fall between the start and end dates. Failure to meet these criteria will result in a validation error, and the club will not save.
Idea
Each season has the option to contain a variable or fixed case shipment (to select a variable case, you must specify at least one case size). Variable shipments will also require default quantities, specified in the case restrictions section under the product list (see below). Fixed case shipments will contain a default case, denoted Default in the product list. To change the default case, click “Set Default” on the desired case in the product list.


Rebilling Schedules

1. Fixed-Date Rebilling:

  • Shipments are scheduled for specific calendar dates (e.g., June 1st, September 1st).

2. Anniversary-Date Rebilling:

  • Billing and shipments are calculated based on the customer’s signup date (e.g., every three months from the signup date).

Shared Features Across All Clubs

1. Delivery Frequency Options:
  1. Flexible scheduling for shipments (e.g., monthly, bi-monthly, quarterly).
2. Discounts and Perks:
  1. Define customer perks such as discounts, free shipping, or bonus products based on club type or delivery frequency.
3. Product and Stock Management:
  1. Mixed cases decrement stock at the bottle level.
  2. Standard fixed cases track inventory at the case level.
4. Flexibility:
  1. Clubs like Variable, Seasonal & Playlist allow significant customer input, while Fixed offer more curated experiences.
