Customer Contracts

Contracts are where you will find all wine club subscriptions. Use the filters on this page to report on contracts by name, club, frequency, status or created date.

View Contract

When you view a subscription contract you can view the following information about a wine club contract;
  1. Customer Details 
  2. Contract Details
  3. Subscribed Products
  4. Upcoming Shipments
  5. Previous Shipments
  6. Contract Change History
From this page you can also view the customer's next order & skip the shipment.

Edit Contract

When you edit a subscription contract you can amend the following using the More Actions button at the top of the page;
  1. Pause - allows you to pause the subscription and recommence at a date in the future
  2. Address - allows you to change the address of the subscription or change the delivery type (ie. from delivery to pickup)
  3. Change Date Started - allows you to update the subscription start date
  4. Change Payment Method: allows you to swap between existing payment methods for a subscription. It is not for updating or adding new card payment details, which must be done via Shopify. Read our guide on updating payment methods
  5. Change Anniversary Date: [Anniversary date clubs only] - allows the admin to reset the anniversary date from which all future orders are scheduled. When enabled on the front end, the customer can update their anniversary date by up to 30 days before or after their existing date. An admin can choose any date without restrictions.
  6. Change Club - allows you to swap the customer to another wine club without losing continuity of membership
  7. Cancel Contract - allows you to cancel the subscription contract without notification to the customer
  8. Cancel & Notify - allows you to cancel the subscription contract with notification to the customer


Further down this page you can adjust the following;
  1. Consecutive Skips - allows you to override the skip-tally of the customer
  2. Edit Delivery Price - allows you to manually override the shipping price for this customer
  3. View, Skip or Delay Shipment - allows you view, skip or delay the customer's next upcoming shipment


At the bottom of this page you can adjust the recurring club order itself;
  1. Delivery Frequency - allows you to adjust frequency selection of the customer
  2. Case Size - allows you to change the case size selection of the customer
  3. Subscription Products - allows you to change the product selections of the customer


Be sure to save any changes that you make.


Subscription Contract Statuses

StatusCustomer-facing labelMeaning
ACTIVEActiveMembership is live. Upcoming shipments can be scheduled and billed. Customer portal actions (skip, change address, addons, etc.) apply when the next shipment is PENDING.
PAUSEDPausedMembership is temporarily stopped (Shopify contract paused). Upcoming PENDING shipments are removed; next billing date is cleared until resume. Customer may resume if the store allows it.
CANCELLEDCancelledMembership has ended. Synced from Shopify on cancel. Remaining future shipments are marked CANCELLED where applicable.
DRAFTActive/Paused/CancelledAdmin only status used to filter unactivated contracts (Not synced to Shopify). Contract details can be updated, and the contract can be activated in order to sync with Shopify.
FAILEDUnavailableShopify subscription contract in a failed state (migration/legacy paths). Treat like inactive for customer UX unless product explicitly supports recovery.

Subscription Contract Shipment Statuses

StatusCustomer-facing labelMeaning
PENDINGPendingNext (or future) club shipment is scheduled but not yet successfully billed. Customer can skip (if allowed), change shipment date (if enabled), add addons, and trigger manual rebill when the store allows.
PAIDPaidPayment succeeded; Shopify billing attempt completed and order is created or linked. Shipment moves out of the rebill queue.
SKIPPEDSkippedThis cycle was skipped (customer, admin, or system). Stock reservations released; next billing date advances. Customer may unskip only while this remains the next shipment and before the skip cutoff window.
FAILEDFailedAll automatic rebill attempts exhausted without success. Rebill rejection email may be sent; playlist clubs may advance to the next cycle.
HOLDOn holdShipment has been manually delayed by the admin to process the billing attempt at a later date. Shipment will automatically release at the specified date.
DEFERREDDeferredAdmin/System manually moved shipment out of the current club run due to being outside the correct billing cycle or manually processing. Excluded from some automated counts until set back to PENDING or another status. Can be reviewed and manually processed if required.
CANCELLEDCancelledShipment cancelled (e.g. contract cancel, club swap).
