Understanding the Cut-Off Period in Wine Clubs

The Cut-Off Period is a key feature in the management of fixed-date wine clubs, helping you manage orders effectively based on the timing of new sign-ups and existing club schedules. It determines how close to a scheduled shipment a new member can sign up and still receive that shipment. Each frequency within a wine club can have its own Cut-Off Period, ensuring flexibility for different delivery cycles. For example, a club with monthly shipments might have a shorter Cut-Off Period compared to one with biannual deliveries.

How the Cut-Off Period Works

When a customer joins a fixed-date wine club, their credit card must be vaulted via an initial transaction. This means their first order is always processed immediately upon sign-up. This is standard functionality in Shopify and cannot be altered by Winehub.

However, the Cut-Off Period works in conjunction with the Next Shipment Generation Behaviour feature (in General Settings) to determine how subsequent orders are handled. By setting the Cut-Off Period in your Wine Club setup page, you can specify how soon after sign-up a new member’s orders align with your club’s schedule. Here’s how the two behaviours interact:

ASAP Mode

  • The first order is processed immediately upon sign-up.

  • The customer also receives the next scheduled shipment, even if it’s close to their sign-up date.

Next Order Mode

  • The first order is processed immediately upon sign-up.

  • The next scheduled shipment is skipped if it falls within the Cut-Off Period.

  • Subsequent orders are scheduled according to the regular club run dates.

Example Scenarios

ASAP Mode

A customer signs up today, and your next club shipment is next week. Their first order ships today, and they’ll still receive the club shipment next week.

Next Order Mode

A customer signs up today, and your next club shipment is next week. Their first order ships today, and their club shipment next week will be skipped.

Customising the Cut-Off Period

The Cut-Off Period can be customised for each frequency in your wine club setup. For example:

  • Monthly shipments might have a 7-day Cut-Off Period to allow for last-minute sign-ups.

  • Biannual shipments might have a 30-day Cut-Off Period to ensure proper scheduling.

To change the Cut-Off Period, follow these steps:

  1. Navigate to the Wine Club setup page in your admin panel.

  2. Select the desired frequency for which you want to adjust the Cut-Off Period.

  3. Enter the desired number of days before the next shipment date that new sign-ups will no longer qualify for that shipment.

  4. Save your changes.


Using the Cut-Off Period Effectively

By tailoring the Cut-Off Period to each frequency, you can optimise your wine club’s operations and customer experience. A well-defined Cut-Off Period for each frequency ensures that shipments are managed smoothly, customers receive their orders as expected, and you maintain control over club schedules.
