General Settings


General Settings is where you can configure and customise how your wine clubs, discounts, product bundles and other system settings work. Following is an overview of the settings that you can customise in each tab.


Wine Clubs

Automatic Stock Reservation

When enabled, Automatic Stock Reservation will reserve stock automatically for Wine Clubs and Subscriptions in advance of the processing date. Set the Primary Location where this stock will be reserved from, or allow it to reserve stock from all locations. You can also specify how long before the club run this reservation takes place.
Idea
You can ignore this setting if you don't manage inventory in Shopify or if you don't need to reserve stock prior to a club run.

Next Shipment Generation Behaviour 

When a customer joins a fixed-date wine club, their credit card must be vaulted via a transaction. This means that their first order is always processed immediately on sign-up. This is standard functionality for Shopify and not something that Winehub is able to influence. However, the Next Shipment Generation Behaviour feature allows you decide how to handle their second order, based on your club’s schedule and a cut-off date you set.

This feature relates to Fixed Date clubs only - if you use Customer Anniversary Date, you can ignore these settings.

Here’s how it works:

  • ASAP mode:

    • Processes the first order immediately upon sign-up
    • The customer also receives the next scheduled shipment, even if it’s close to their sign-up date.
  • Next Order mode:

    • Processes the first order immediately upon sign-up
    • Skips the upcoming club shipment if it falls within the cut-off period specified in club setup.
    • Schedules subsequent orders according to the regular club run dates.
Example Scenarios:
  • ASAP: A customer signs up today, and your next club shipment is next week. Their first order ships today, and they’ll still receive the club shipment next week.
  • Next Order: A customer signs up today, and your last shipment was last week, with the next one in three months. Their first order ships today, and their next order aligns with the regular club schedule.
Alert
If you use Next Order mode, you must specify a Cut-Off Period in your fixed date wine clubs. Each delivery frequency can have a different cut-off period specified, or the system will default to 7 days. 



Stock Warning Limits

Throughout Winehub, different warnings appear for products based on how much stock is available. The Global Low Stock Warning Limit can be set to determine when to display the low stock warning for ALL stock locations. The Primary Low Stock Warning Limit can be set to determine when to display the low stock warning for the Primary Stock location only.
 
The Minimum Stock Cutoff Limit can be used to hide products from being signed up to after their stock falls below the amount defined.
Alert
The Minimum Stock Cutoff Limit only applies to products that have 'Track Quantity' selected and 'Continue Selling When Out Of Stock' unselected, for any other combination the products will always appear to be available for sale or sign up.

Subscription Skipping, Date Change & Cancellation Settings 

Through the Winehub customer portal, you can give customers the option to skip their shipment, cancel their membership, or change their shipment dates (anniversary date clubs only). 
  1. Allow Skip Shipments - When enabled, customers are able to skip their upcoming shipment via the Customer Portal. An admin user can always skip a shipment regardless of this setting.

  2. Allowed Subscription Skips Before Cancellation - The number of consecutive skips a customer is allowed before being auto-cancelled from the club. This stops customers from gaining benefits from being subscribed to a club while indefinitely skipping shipments.
  1. Allow Anniversary Date Change (Customer Anniversary Clubs only) - When enabled, customers are able to change the sequence of their upcoming club orders. They are only able to shift the dates upto 30 days before or after the existing dates, however an admin user can change the sequence to any dates regardless of this setting.

  2. Allow User Subscription Cancellation - When enabled, a customer can cancel their own subscription via the Winehub Customer Portal. When disabled, the cancellation button will remain but a prompt will direct them to contact the site administrator. The messaging of this prompt can be adjusted to suit your needs (see below).


  1. Edit Cancel Popup Language - If you do not allow customer cancellations via the customer portal, you can customise the cancellation popup message displayed here.


  1. Edit Cancel Reasons - If you allow customer cancellations in the customer portal, you can customise cancellation reason here which you can report on later.

Order Processing Settings 

The Order Processing Settings help streamline subscription and allocation management by setting clear deadlines for customer actions. They also offer options for how your club orders are processed.
  1. Days before subscription shipment to block subscription edit - To prevent last-minute changes, customers are blocked from editing their subscription orders a set number of days before shipment (minimum of 1 day).

  2. Days before subscription shipment to disable Skip/Unskip - The number of days before a shipment is due to be sent out, that will prevent the customer being able to skip/unskip their order.

  3. Days to pay for a Draft Order - The number of days that the customer has to pay a draft order after claiming an allocation offer or exclusive products (Defaults to 3 days).

  4. Process shipments manually - When enabled, this removes all automatic processing of club orders. You will to follow the Manual Club Processing instructions to run your club.

  5. Enable CRV Tax - (US only) When enabled, recurring club orders will have California Redemption Value (CRV) added to applicable products. Learn more.

Rebilling Settings

The rebilling settings determine how your club billing works. Once the maximum number of rebilling attemps has been reached, the order will be automatically skipped. You should keep an eye on failed billing attempts in the Club Run report or the Failed Billing Attempts report in the Administration section of Winehub.
  1. Number of times to retry failed rebilling attempts - The number of times that the system will attempt to charge the customer's card after an unsuccessful billing attempt.
  2. Number of days between rebilling attempts - The number of days between a failed billing attempt and the next attempt.
  3. Number of days between rebilling failure emails - The minimum number of days before sending the customer another card processing failure email.
  4. Allow Customers to Rebill - When enabled, customers are able to process their upcoming shipment at any time via the customer portal.
Idea
A failed shipment will no longer automatically attempt to be rebilled but can be manually rebilled by an admin when viewing the customer’s previous shipments on the subscription view page in Winehub.

Discounts

Automatic Discounts
Club benefits, membership tier discounts, shipping discounts, tier products and exclusive product discounts can be automatically applied to the cart by switching to Automatic Discounts. This removes the need for the customer to use a Discount Code to apply their membership discounts. The automatic system will update the cart with the customer’s maximum available discount for the current transaction. Switching back to the manual system can be done at any time.

IMPORTANT Before Activating Automatic Discounts
Automatic discounting is not compatible with Dynamic Checkout Buttons on product pages, however you can still use these on your checkout page. Please deactivate Dynamic Checkout Buttons on your product pages before activating Automatic Discounts. This feature may conflict with third party applications. If you have any issues with the automatic discounts, please disable and contact support. Automatic Discounts apply in all areas except Shopify Draft Orders, where any available discounts must be confirmed manually.

Free Products
In some regions, it is not permitted to offer alcohol free of charge as a purchase incentive. In these cases, you can enable this setting to apply a small token charge (e.g. $0.01) to “Free Product” perks within Wine Clubs or Loyalty Programs, ensuring compliance while still delivering the intended customer benefit.


Product Bundles

A mixed case created in Winehub is made up of a bundle of individual products (SKUs). This feature allows you to show the contents of the mixed case at the time of sale, after sale, or not at all. The default setting is that mixed case contents are not shown. As this feature is still experimental, please discuss with our support team before adjusting this setting.

System Features 

The System Features tab allows you to update, activate or deactivate a range of system features
  1. Loyalty Tier System - enable or disable the Winehub loyalty features
  2. Referral System - enable or disable the Winehub referral features
  3. Automated Emails - enable or disable the Winehub automated email system

Be sure to setup your Global Email Settings and customise your Action Email Templates before activating automated emails.



Club Run Processing

Club runs are automated in Winehub. This feature allows you specify the time of the day that you would like your club orders to process. Simply select your timezone and the hour of the day you'd like your orders to run.


Admin Email Notifications
You can choose to receive admin notifications for key customer events in your wine club. Further notification options will be provided in the future, however, if you have a specific notification need, you may be able to use the Shopify Flow app to create these. Read more.
